HOW WE DO IT

Letting Of Premises

Successful letting is founded on the ability to quickly let the premises to responsible tenants of stable financial status.
To achieve this:

i.) We do intensive marketing via localised advertising on social media platforms, displaying boards and signs with detailed photos of the interiors and exteriors of the premises in strategic locations. We print detailed brochures and distribute them strategically.

ii.) Before the premises are handed over to a new tenant, we ensure the tenant signs the lease agreement.

iii.) We conduct a thorough move-in inspection of the premises, generate an inspection report, of which a copy is retained by both parties for future reference.

iv.) Using our well-detailed tenant application forms, we professionally vet all prospective tenants to gather details like workplace, position held, organization contacts, contacts of previous residence, copies of ID cards/passports, K.R.A. pins, the latest salary slips, and the latest water and electricity bills in order to enhance the security of the tenants thus ensure smooth running.

Accounting

Keyda Ventures sends reminders to the tenant on the 25th day of the month for the following month’s payments, which are due on the 5th day, or as agreed by the landlord/landlady.

Deposits, utility bills, rent, and other tenant payments are deposited according to Keyda Ventures or as agreed upon by both parties.

In addition, reminders for monthly rent payments are issued to the tenant to facilitate punctual payments.

A monthly report is issued to the property owner showing the total rent payments received with deductions for any property maintenance expenses and management fees.

Finding, Assessing & Acquisition of Properties

Finding

Keyda Ventures assists Real Estate Investors in finding properties to purchase for investment. This includes working with an investor to determine their investment budget, property criteria, income goals and objectives.

Preparation for Leasing

A leasing property should be prepared for occupancy by being cleaned professionally. The property manager prepares an inventory inspection report that reveals the status of the property.

All plumbing, mechanical, and electrical systems must be tested to ensure they operate optimally. Where repairs are necessary, we engage our qualified team to conduct the relevant repairs.

When a unit falls vacant, we professionally conduct an inspection to identify any repairs that may be required within the shortest time possible.

Locating a Tenant

Any property ready for lease and approved by Keyda Ventures inspectors is posted on the company's website and social media platforms.

Qualifying a Tenant

Every prospective tenant is issued a copy of Keyda Ventures Tenancy Agreement which contains terms and conditions to be applied during their tenancy within our property.

The client is required to fill in his/her personal details, i.e name, contacts, address, MUST produce a copy of their ID/Passport and should attest to comply with terms presented by appending their signature.

The management also conducts a background check on the client to try to eliminate criminal elements or mischievous character and all this is done professionally. We also provide a recommendation report to the investor for final approval before a lease is executed.

Leasing/Letting to a Tenant

Once a tenant is approved, Keyda Ventures management is authorized to sign the lease agreement on behalf of the property investor.

Rental/lease payment is done at the beginning of the lease period which entails; a one month’s rental pay, a deposit of similar amount as security, and utility charges deposit. i.e electricity, water, security, garbage collection where they may apply.

Rent can be prorated if the lease commences during the month instead of the 1st day of the month.

The management receives an agency fee/commission compensation from the property investor as per their prior agreement.

Maintenance

Keyda Ventures property managers always respond to repair requests made by the tenant or repairs identified during periodic inspections and initiate the repair process promptly.

The management has qualified contractors in plumbing, electrical services, woodwork, painting, and masonry, whose response is timely and affordable.

Tenants' Dispute Resolution

In the event a dispute arises due to tenant late rental pay, unpaid rent, utilities and maintenance charges or any other breach of terms and conditions as stipulated in the Tenancy Agreement, the management will engage in enforcement action lawfully to resolve the issue.

Estate Agents Act Cap 533 of the Laws of Kenya allows Estate agents to enforce legal actions against a tenant for the purpose of collecting all unpaid dues or initiate a forceful eviction. If this is required, Keyda Ventures will file the necessary documents with a local rental tribunal to evict a tenant or sue for unpaid dues as per the law and tenancy agreement.

Eviction of Tenants

Tenants who breach the Tenancy Agreement by a series of unsettled dues or whose code of conduct is in scrutiny will be subjected to eviction.

Termination of Lease

The lease terminates at the discretion of either the tenant or property owner upon providing a 30-days’ notice prior to the lease expiry date or any renewals.

Once the notice is initiated by either party, the property is declared vacant and advertised by the property manager.

During this 30-day period, the tenant is required to allow access to the property to Keyda Ventures realtor marketing the property.

On vacating the unit, an inspection is done and an after-lease inspection report is prepared.

If the report reveals areas that require repair, the tenant is informed about it and is charged for it. Once the repairs are completed, the balance or full amount (if there were no repair charges) is paid back to the tenant.
